Ma City Meetup 2025
Join us for a fun-filled long weekend in Kansas City! We’ll be repeating fun events like the costume contest and pajama party concert, along with fun new activities to be announced. Events will be scheduled from 10am to 10pm with a midday break for rest, relaxation, or activities outside the hotel.

We have signed contracts guaranteeing the number of rooms booked, minimum catering budgets, and more, therefore WE ARE UNABLE TO OFFER REFUNDS IF YOU CANNOT ATTEND.
What is the registration fee?

The registration fee does NOT include:
Hotel Accommodations
Registration guarantees you a discounted room rate at the Residence Inn Kansas City Airport for an additional cost per night
We have secured rooms for 150 attendees on Friday and Saturday nights
There are limited rooms available at the discounted rate for Thursday and Sunday nights
Transportation to/from Kansas City
Free hotel shuttle service available between hotel and airport
I’m confused - why are there different registration links?
We have conference space for up to 150 attendees, but only 85 guaranteed rooms in the event hotel. In order to ensure everyone is able to stay in the event hotel, we are requiring Double Rooms to register separately and have two (2) attendees.

If you want to room by yourself:

King Room
Register for a King Room with 1 king bed, living room, bathroom, and kitchenette. Intended for single occupancy. There are 35 King rooms available.
If you want a roommate:
Message a friend to coordinate, or visit the Looking for Roommates Discord thread to find one. You must have a roommate prior to registering for this room type.

Double Room
(2 Occupants)
Register for a Double Room with two queen beds, living room, bathroom, and kitchenette. There are 50 Double rooms available.
This registration fee covers both attendees ($297 per person). Please coordinate reimbursements with your roommate prior to registration.
You must provide name, contact information, shirt size, dietary requirements, and bias for both registrants — please have this information ready.
To register without any hotel accommodations (people who live locally), contact us in the Registration Help Discord thread and we will DM you to coordinate.

The 2024 meetup had events and meals for approximately 1.5 days. Based on feedback, the 2025 meetup will have events and meals for 3 days, which is why the price is higher. Please be assured we chose the location (both the city and the hotel) to make the event affordable for as many people as possible!

We will ask for food allergies and restrictions during the registration process. Please add any requirements into the form at that time. We will do our best to provide a variety of options and ensure foods are clearly labeled.

For the 2024 meetup, we had trouble chasing people down after registration for their shirt size. This time we have chosen the shirt brand/type up front so that we can provide a size chart and get your size during registration.

Based on feedback, we worked hard to reserve enough rooms in the event hotel for the maximum number of attendees. This requires that all rooms with two beds have two attendees. In order to avoid anyone booking a room with two beds and not having a roommate, potentially forcing someone to stay at a different hotel, we are requiring the room type with two beds to have two attendees at registration. If you would like to room alone or bring someone who is not attending the event, you are able to book a room with one king bed.
